Summary:

The American Institute of Steel Construction (AISC) is a non-partisan, not-for-profit technical institute and trade association established in 1921 to serve the structural steel design community and construction industry in the United States.

 AISC seeks a motivated self-starter with exceptional organizational and planning skills to join our meetings department. As meetings manager, this individual will supervise the daily operations of the meetings department, handle planning aspects for various meetings and events, and play a significant role in implementing NASCC: The Steel Conference (around 6,000 attendees and 300 exhibitors). Additionally, the meetings manager will oversee our exhibitor logistics for external trade shows.

 AISC is headquartered in downtown Chicago and offers a hybrid work schedule; the meetings manager must work out of AISC’s headquarters at least two days a week. (It’s worth it. We’re a fun group, we enjoy in-person collaboration, and we have a very nice coffee machine.)



Requirements

Primary responsibilities related to The Steel Conference:

  • Work with show contractor (Freeman) to develop and manage exhibitor kit, graphics, structures, registration layout, freight, etc.
  • Partner with registration and housing vendor (MCI USA) to set up and manage attendee and exhibitor registration/housing
  • Prepare conference audiovisual, IT, set-up, security, and catering specifications
  • Handle planning logistics for special events as assigned
  • Partner with the communications department to build and maintain the conference website
  • Manage communications with exhibitors, sponsors, speakers, attendees, etc.
  • Perform other duties as assigned

 

Primary responsibilities unrelated to The Steel Conference:

  • Supervise Meeting Coordinator
  • Manage the planning logistics of membership events, staff outings, and other special functions
  • Handle logistics involved with AISC’s booths at various trade shows (e.g., booth design, booth set-up, publications/supplies/giveaway orders, shipping, registration, invoices, etc.)
  • Offer on-site support at various meetings, events, and trade shows as needed
  • Support Senior Director of Meetings and Conferences with other tasks as assigned

 

Qualifications:

  • Exceptional organizational skills
  • Ability to manage multiple priorities, meet deadlines, and take initiative
  • Excellent eye for detail
  • Strong contract negotiation skills
  • Excellent conflict-resolution and problem-solving skills
  • Ability to interact enthusiastically and professionally with members, leadership, and colleagues
  • Must have an interest in travel (a typical year requires 10-15 trips, but some years require more)

 

 Education and experience:

  • Bachelor’s degree (hospitality major preferred)
  • 3-5 years of conference/meeting planning experience required
  • CMP certification, or working toward CMP certification, is required
  • Proficient in Google Workspace
  • Full COVID-19 vaccination required
